Creator Ops Toolkit

Ten tools I designed and built to run creator collaborations end to end: briefing creators, tracking production across platforms, reviewing creator performance, and getting creators paid on time.

Workflow automationRepeated manual steps turned into one-click or scheduled runs.
Platform integrationMonday.com, Brkaway, Google Drive, Gmail, Slack, Sheets.

Stage 01

Briefing

Getting each collaboration set up and the creator briefed.

Apps Script web app

Creator Script Copier

BeforeCopying the script template by hand, renaming it and fixing the heading, once per collaboration.

Google DriveGoogle DocsApps Script
  • Paste up to 40 request names, one per line. Each gets its own copy of the script template in the scripts folder.
  • Names each copy exactly as typed and replaces the Request heading inside with the same name, leaving the rest of the template untouched.
  • Per-row status (Created, Skipped, Check it, Failed), a duplicate-name guard, copy-all-links, and failed names kept for one-click retry.

The third version of this idea. Earlier builds broke when the placeholder text was overwritten; matching the heading exactly fixed it.

Creator Message Deck

BeforeRewriting the same creator messages from scratch on the collaboration platform.

BrkawayClaude
  • Drafts a personal message per creator for the four situations that come up most: brief and deliverables, revision request, deadline nudge, general update.
  • Tracks who has been messaged, so no creator is missed or contacted twice.
  • Drafts only. Every message is reviewed and sent by hand.

Stage 02

Production tracking

Knowing where every collaboration stands without opening five tabs.

Web app · live data · team

Collab Digest

BeforeEach person searching the project board item by item, then digging through comment threads to find what needed them today.

Monday.com APIVercelSlackClaude
  • Reads each person's open collabs live from Monday.com, refreshed every 5 minutes, and sorts them into Needs you, Due today, Late, Changed in 24h, Waiting on client and Stuck 5d+.
  • Finds the true latest update, including replies buried under older posts, and flags @mentions, overdue items and days in stage. Finished and handed-off collabs drop out on their own.
  • Now a full internal app around the digest: a Home snapshot, weekly KPIs, a Creators view, message templates with a chase list, and a 7:30 AM Slack briefing.
  • Used daily by a 4-person department, each signed in with company Google and their own Monday.com token; expanding to the partnerships team. Its only write is Post update, one update posted on several collabs at once.

Video Finder

BeforeHunting through shared folders for the right video file, language and version.

Google Drive API
  • Searches Drive live by client, language code or version, with file-type filters.
  • Select several results and copy all their links at once, or open a file or its folder directly.
  • Stores nothing. Every search reads Drive directly.
Apps Script automation

Platform Alert Notifier

BeforeWatching the inbox for collaboration platform notifications between other work.

GmailSlack APIApps Script
  • Watches Gmail for Brkaway notifications addressed to me and sends a Slack DM for each one.
  • Built on free Apps Script instead of a paid automation platform, with the Slack token kept in secure script properties rather than in the code.

QC Handoff Automation

BeforeMoving each production item to QC by hand on the board every time a creator submitted their deliverables.

MakeMailhooksMonday.com APISlack
  • Reads each deliverable-submission email, finds the matching item on the Monday.com production board, and moves it to QC.
  • Every run ends in a Slack DM: a confirmation when it worked, or the item and a link to check when it couldn't move, so a failure never goes unnoticed.

Stage 03

Creator review

Turning collaboration history into a fair, consistent creator rating.

Web app · AI assisted

Creator Rating Desk

BeforeWriting creator reviews from memory after a collaboration closed.

BrkawayClaudeShared database
  • Paste the full conversation thread. Claude proposes a verdict, star scores for quality, creativity and professionalism, and tags backed by evidence from the thread.
  • Every score stays editable, and ratings can be done fully by hand.
  • Produces a review ready to post and saves it to a shared log the team can scan.

Stage 04

Payments

Paying creators on the right date and handing Finance clean lists.

Web app · shared data

Spark Ads Invoice Tracker

BeforeA spreadsheet where days live were counted by hand to catch the 30-day Spark Ads payout rule.

TikTok Spark AdsGoogle SheetsBrkaway
  • Counts days live automatically and moves each video through Accruing, Ready to invoice and Invoice sent.
  • One click copies a personalised invoice message and opens that creator's collaboration page.
  • Exports the ready-to-invoice list to a new Google Sheet for Finance.
  • Search, sort, status filters, bulk add, archive, and shared storage so the whole team sees the same records.
Web app

Invoice Reminder Desk

BeforeWriting one invoice reminder per creator, every pay cycle, from a raw invoices export.

Excel / CSVBrkaway
  • Upload the invoices export or paste rows. It finds the header row, cleans invoice IDs off names and skips total rows.
  • A creator on several rows gets one message listing every request, with totals added together.
  • Set the deadline and payment date once and every unedited message updates. Work down the roster with a progress meter.

Stage 05

Reporting

The numbers the team reviews every month.

Slide deck

Monthly Performance Review

BeforeRebuilding the monthly review deck by hand and trusting hand-typed percentages.

Google SlidesMonday.com
  • 13 slides covering output, language mix, creator workforce growth, top performers, sourcing channels, regional opportunities, and dropouts and risks.
  • Every percentage is recomputed from raw counts. The rebuild caught and corrected several totals in the original deck.
  • Reusable each month: an input checklist lists exactly which counts to update, and each slide carries its own refresh notes.
